Move-In / Move-Out Condition Report

A signed condition report is your best protection in a deposit dispute: it proves what the unit looked like when the tenant moved in versus when they moved out. Walk the unit together, rate each item, note any existing damage, take photos, and have both parties sign. Generate the report, then print it or save it as a PDF.

Ratings: E = Excellent, G = Good, F = Fair, P = Poor. Use the notes column for specifics ("nail holes behind door", "carpet stain by window") and note anything pre-existing so it is not charged at move-out. Photos with timestamps strengthen the report.

Important: This generates a general template, not legal advice. Some states require the tenant to receive a copy of the inspection report within a set number of days (for example, at move-in or with the deposit accounting at move-out).
